Frequently asked questions
Almost every engagement starts with a conversation, not a proposal. We ask about your systems, your exception queues, and the manual work your team repeats each week. If it makes sense, the first paid step is a Focused Diagnostic — a bounded two-to-four-week assessment that ends with a prioritized roadmap and an honest go / no-go recommendation. You own that roadmap whether or not you continue with us.
Enough to do the work and nothing more. Typically that means read access to the relevant source systems, sample extracts where direct access is not possible, and a technical contact who can answer schema and permissions questions. We work within your security posture — if access must be scoped, time-boxed, or brokered through your IT team, that is normal and expected, not an obstacle.
With guardrails designed in from day one: confidence thresholds that route uncertain results to human review, approval paths for consequential actions, complete audit trails logging inputs, outputs, and model versions, least-privilege access controls, continuous monitoring for errors and drift, and a one-step kill switch owned by a named person on your team. If a workflow cannot carry those controls, we recommend against automating it.
You do. Everything we deliver — pipelines, models, dashboards, automation code, and documentation — is delivered into your repositories and environments under your ownership. We do not hold your systems hostage to a proprietary platform, and there is no license fee waiting at the end of the engagement. Our goal is that your team can run and extend everything without us.
A Focused Diagnostic runs two to four weeks. A Build Sprint — one foundation-plus-automation outcome delivered to production — typically runs eight to fourteen weeks, delivered in two-week increments so value lands early. Embedded partnerships run six to eighteen months on a rolling backlog. We scope timeframes in the Discover phase and never start a build on a guessed timeline.
We are deliberately technology-agnostic. We have worked across common ERP, CRM, TMS, POS, and document-management platforms, mainstream cloud warehouses and orchestration tools, and a great deal of bespoke in-house systems. Where a system has an API, database, EDI feed, or even a scheduled export, we can usually work with it. During Discover we assess your specific stack and flag anything that will be genuinely difficult — before you commit budget.
By involving them from the start and measuring adoption after launch, not just at launch. Our enablement consultants run design sessions with the people doing the work, write playbooks in plain language, deliver hands-on training in the tools your team actually uses, and check back weeks after go-live to see what is being used, what is being worked around, and why. If a system is being bypassed, we treat that as our design problem to solve.
Every Build Sprint includes thirty days of post-launch monitoring, runbooks, and documentation. Beyond that, Embedded Partnership clients get priority support with named escalation contacts, continuous reliability monitoring, and an on-call rota for critical production issues. Reasonable, honest ones. We work within your security requirements: least-privilege and time-boxed access, no production data in unapproved environments, no customer personal data in support channels, and documented data handling for everything we touch. We will complete your vendor security review and tell you plainly where our practices fall short of a requirement rather than papering over the gap. We do not claim certifications we do not hold.
Diagnostics are fixed fee. Build Sprints are fixed scope with milestone billing, so you know the total before we start and pay against delivered increments. Embedded partnerships are monthly retainers with a rolling backlog and quarterly value reviews. We do not bill by the hour for open-ended "research," and we will tell you during the first conversation which model fits — including if none of them do yet.

The common thread is not industry but shape — multiple source systems, document or exception volume, and teams spending real hours each week reconciling and chasing. If that describes you, we can probably help; if it does not, we will say so.
Four things: meaningful volume, a repeatable structure, tolerable error costs with a review path for mistakes, and — non-negotiably — a named human owner with authority over the process. Workflows involving high-stakes individual decisions, irreversible external actions, opaque data handling, or no accountable owner stay manual or get a human firmly in the loop. We assess all four in Discover and recommend against automation as readily as we recommend it.
That is our preferred mode. Embedded partnerships exist precisely to build alongside your engineers and analysts, pairing on delivery so knowledge transfers continuously rather than arriving in a handover document. Where there is no internal team yet, we design for the team you plan to hire — documented, conventional, and maintainable — rather than for a permanent dependence on us.
